Advice for Selecting a Venue

Congratulations on your engagement! With so much on your mind, you’ve probably already started working on your wedding checklist. One of the biggest tasks, of course, is securing the perfect venue for your ceremony and reception. Below are some tips to get you started.

Budget

When it comes to your budget, you’ll want to determine early on exactly how much money you have to spend. Once you have this figure, refrain from considering venues that exceed your budget;  apprising potential vendors of your budget from the get-go is a great way to do this. The last thing you’d want is to find the perfect site only to discover it costs more than you can afford.

Wish List
Making a wish list of what you’d like included in the reception and ceremony is a great way to develop an overall vision for what you want. When compiling your list, keep in mind the venue might have rental charges for everything from rooms to linens to the cake cutting. Also, if you want the ceremony to take place at the same site, make sure to include in your budget any set-up and rental costs associated with that as well.

Number of Guests
Here, you need to think about the maximum number of guests you’ll be entertaining. The list doesn’t have to be fixed—it can, and probably will change over time—but setting a maximum number straight away helps determine whether the venue can accommodate your needs.

Wedding Date
When corresponding with potential venues, make sure to inform them of the wedding date. That way, if your date isn’t available, you’ll know right away and can broaden your search as needed.

Research
Always research your sites before making contact. WeddingWire is a great resource, as are family members and friends who’ve recently gotten married or attended weddings in the area.

Appointments
Schedule all venue appointments in a specific 3 - 4 week period when possible. It’s easier to remember what you like and don’t like about individual ones if tours are conducted in close proximity to one another.

The Tour
Avoid surprises by inquiring about food minimums, available dates, room and dance floor rentals, as well as other applicable charges, some of which might be hidden. Don’t leave before obtaining a proposal from the venue, especially if they offer special incentives.

Before Signing
If possible, meet with the venue to finalize the contract, and make sure to read the fine print. Keep in mind the initial contract or event confirmation needs to contain your specific time and date. If you don’t see an item that was discussed in your initial talks—such as discounts or other offers—ask them to include it before signing. And if there’s a clause or phrasing you don’t understand, request an explanation.

Remember: you’re unique! Your ceremony and reception should reflect your personality and style. With a little groundwork, you’ll be on the road to creating your dream wedding in no time!
